Record with your computer’s microphone or a headset. Pause and resume whenever you need to.
Stay with your client, not your notepad. Record an in-person or telehealth session, and Apollo turns the conversation into a draft progress note for you to review.
Choose your client and note format, then select Record. When the session ends, select Create Note. Check who said what, review the draft, then save it or copy it into your EHR.
Use the microphone you already have, share your telehealth tab, or upload audio you recorded somewhere else.

Apollo transcribes the session and separates the voices. Before it writes a note, you confirm who each speaker is.
Name each speaker, or match them to a saved client
Mark each speaker as therapist, client, or other
Play a short clip when you’re not sure whose voice it is
Merge two labels that belong to the same person
In a couple or group session, choose which clients get a note. Apollo writes a separate draft for each one, and uses what others said only when it’s clinically relevant. Groups can have up to 30 participants.

When you choose a client, Apollo uses their intake, treatment plan, and custom instructions, so each note builds on their goals. It suggests diagnosis codes and checks the note for medical necessity, risk assessment, interventions, and progress toward goals before you save it.
Apollo deletes the audio as soon as it’s transcribed. The transcript is saved with the note, so you can check what was said.
Get your client’s consent before you record. A free client consent form is included in the Help section.
