Ask Apollo
Ask Apollo helps you prepare for sessions, find details in client history, and review the note you are working on. Type a question or talk out loud, just as you would ask a colleague. For an overview, see what Ask Apollo can do.
Open Ask Apollo
Select the floating Ask Apollo bar in the app. You can also select Ask Apollo in the sidebar to open the assistant full screen. Choose Text to type or Voice to talk. Apollo remembers your preferred mode.
Open a client profile to start with that client in view. When you open a note, Apollo can help with the text in its editor. Check the client name at the top of the assistant before asking about a record.
You can also name the client in your question, such as “Give me a briefing for Sam.” If more than one client matches, choose the right person from the results.
Type a question
Choose Text.
Type your question in the message box and send it.
Read the reply, then ask a follow-up if you want more detail.
Try “What did we work on in the last session?” You can follow up with “What homework did we agree on?”
Talk to Apollo
Choose Voice and allow microphone access when your browser asks.
Speak your question naturally. Apollo answers out loud and shows the conversation in the panel.
Ask a follow-up, or interrupt to clarify what you need.
Select Stop listening when you finish.
Use a quiet place where you can speak about client information privately. The panel shows whether Apollo is connecting or listening. If microphone access fails, check your browser permission and try again.
Prepare for a session
Ask for a quick overview of a client’s intake, treatment plan, and recent saved notes. You can focus on a goal, topic, or date.
“Give me a quick briefing before this client’s next session.”
“What has changed over the last few sessions?”
“How are we progressing toward the treatment goals?”
“What did we discuss in the session on October 2?”
“Find the sessions where we discussed sleep.”
Clear questions help Apollo find the right records. Include a date or topic when you want a specific session, and ask a follow-up to explore a detail.
Check the sources
Answers based on saved client records include a Sources button. Open it to see the intake details, treatment plan, notes, or transcript passages used for the answer. Where a note and transcript are linked, you can switch between them.
Review the source when a detail matters to your clinical work. Keep the client’s intake and treatment goals up to date, and save finished notes with the correct client selected.
Review and edit an open note
Open the note you want to work on, then ask Apollo about it. Try “Summarize the risk information in this note” or “What could be clearer in the Plan section?”
To change the wording, ask for a specific edit. For example, “Make the Assessment section shorter” or “Rewrite this paragraph in a warmer tone.” Select text in the editor first when you want to focus on one passage.
Apollo opens a proposed revision for you to review. Select Apply changes to use it, or Cancel to keep the current text. You can also ask Apollo to restore the original version and review that proposal.
Check that the revised note still matches the session. Select Save when your review is complete. Draft edits are saved as you work; saved notes need Save to keep your changes.
Open a page by asking
Apollo can help you move around the app. Try:
“Open this client’s latest saved note.”
“Open a new progress note for this client.”
“Open a new treatment plan.”
“Open my profile.”
When you ask for a new note, Apollo opens the creation page. Choose your settings, add the source information, and select Create Note.
Keep track of usage
Your plan has an allowance for typed requests and a separate allowance for voice chat. Apollo shows a reminder when you are running low. A monthly allowance shows its reset date when used up.
Open Settings > Billing to review plans if you are the team administrator.
